Identify the benefit questions
Record which plan details the practice needs reviewed: active coverage, annual maximum, deductible, waiting periods, frequency limits and coordination of benefits. Ask how the payer response and date checked will be recorded.
Separate benefit information from treatment decisions
The treating dental team owns treatment recommendations. Administrative benefit information helps the office explain next steps; it does not guarantee reimbursement or determine clinical necessity.
Define the follow-up owner
Agree who requests missing attachments, tracks predeterminations and explains unresolved account questions. Keep patient details in approved practice systems, not public enquiry forms.
